A guide to working for the NHS in an Admin role

 

An Administration role within the NHS is probably one of the most well-known non-medical staff positions within the Healthcare industry. The reason for this is that Administrator is usually the first person that a patient will engage with when entering a hospital on the reception desk. That being said, there are a number of different job roles that fall under the Admin umbrella including: Receptionist, Health Records Staff, Typist, Clerk, Personal Assistant (PA), Secretary, Switchboard Operator and Telephonist.

The duties of Admin staff can include: dealing with queries via phone and email, booking appointments, setting up meetings, taking notes, typing letters, updating records, etc. These roles can be both patient facing and back of house, it depends entirely on the specific role that you choose.

If you have good IT and organisational skills, enjoy dealing with people face to face and over the phone/ email and fancy working for the largest organisation in the country then an Admin role could be just right for you. Skills

Administrator jobs are crucial to the smooth operation of the NHS as they are involved in so many different areas and are one of the largest workforce groups within the NHS. You will need to have several skill sets in order to be an effective Administrator and these include:

  • IT skills
  • Numeracy skills
  • Strong organisational skills
  • Great communication skills both via the phone and face to face
  • Time management skills
  • Good writing ability

Administrators must be caring, approachable and professional as their jobs usually involve them dealing with a large number of patients usually in distress.

 

Qualifications and entry requirements

In terms of a set of standard qualifications and entry requirements for Administrator positions, these can vary dependant on the seniority of the role. For entry level positions the following entry requirements are a must:

  • GCSEs in English and Maths or equivalent qualifications
  • Good telephone manner
  • A good standard of literacy, numeracy and IT skills
  • A qualification in Business Administration would be advantageous

It is important to remember that each job is unique and each job may require only a selection of the criteria listed above and others may require more. It is critical that you read the job description carefully when you are applying for the positon and ensure that you have the relevant qualifications as this will probably come up during an interview and you may be required to show evidence.
